How AcaTrove uses AI to suggest tasks, recommend priorities, and help you manage research projects.

AI Project Management

AcaTrove includes AI-powered project management features that analyze your project's current state and offer actionable recommendations. These features are designed to reduce the cognitive load of planning and help you avoid common oversights in the research process.

How It Works

When AI Project Management is enabled, AcaTrove's AI examines several signals from your project:

  • Current tasks and their statuses -- What has been completed, what is in progress, and what has not started.
  • Milestones and deadlines -- Upcoming target dates and how much work remains.
  • Research phase -- Whether you are in planning, data collection, analysis, writing, or review.
  • Project type and discipline -- The kind of research and its domain-specific requirements.
  • Linked documents -- Papers, data files, and drafts attached to the project.

Using these inputs, the AI generates two kinds of recommendations: task suggestions and priority recommendations.

Task Suggestions

Task suggestions appear in the AI Suggestions panel on your task board. Each suggestion represents a task the AI believes is relevant to your project's current stage but is not yet on your board.

Examples of what the AI might suggest:

  • During the planning phase: "Draft a data management plan," "Identify potential funding sources," or "Schedule a kick-off meeting with collaborators."
  • During data collection: "Create a backup protocol for raw data," "Document inclusion/exclusion criteria," or "Set up a participant tracking spreadsheet."
  • During writing: "Outline the methods section," "Request co-author feedback on the introduction," or "Prepare supplementary materials."

Each suggestion includes a title, a brief description, and the rationale explaining why it is relevant now. You have three options:

  • Accept -- Adds the task directly to your board with the suggested priority and description.
  • Modify -- Opens the task editor so you can adjust the title, description, assignee, or priority before adding it.
  • Dismiss -- Removes the suggestion. Dismissed suggestions are not shown again for the same project.

Priority Recommendations

In addition to suggesting new tasks, the AI periodically reviews your existing task board and recommends priority adjustments. For example:

  • A task with an approaching deadline that is still in "To Do" may be flagged for escalation to High or Critical priority.
  • A task whose dependency has just been completed may be recommended for immediate attention.
  • Tasks that have been in progress for an unusually long time may be flagged for review.

Priority recommendations appear as inline notifications on the task board. You can accept or dismiss each recommendation individually.

Enabling AI Project Management

AI Project Management is enabled by default for new projects. To toggle it:

  1. Open your project and go to Settings.
  2. Under AI Features, toggle AI Task Suggestions on or off.
  3. Save.

When disabled, the AI Suggestions panel is hidden and no recommendations are generated.

Privacy and Control

AI analysis is scoped entirely to your project's data. The AI does not access data from other users' projects or share your project information externally. All suggestions are recommendations -- AcaTrove never creates tasks, changes priorities, or modifies your project without your explicit approval.

Tips

  • Review AI suggestions weekly. They are most useful when your project is actively evolving.
  • Do not dismiss suggestions too quickly. Even if a task seems premature, it may be worth adding to a future milestone.
  • Combine AI suggestions with your own domain expertise. The AI identifies patterns across research workflows, but you understand the specific nuances of your study.
