Admin Dashboard Overview

The admin dashboard is the central control panel for managing your AcaTrove instance. It provides system statistics, quick access to administrative functions, and an at-a-glance view of platform health. Access to the admin area requires an admin or superadmin role.

Accessing the Admin Dashboard

Navigate to /admin from the sidebar. The admin link is only visible to users with administrative privileges. If you do not see it, contact your workspace owner to request admin access.

Dashboard Statistics

The admin dashboard displays key metrics about your AcaTrove instance:

  • Total Users -- The number of registered users in your workspace, with a breakdown by role (researcher, admin, superadmin) and activity status (active in the last 30 days, inactive).
  • Projects -- Total projects created, active projects, and projects completed.
  • Publications -- Number of publications uploaded and indexed across all users.
  • Documents -- Total documents in the system, including papers, proposals, and reports.
  • AI Usage -- Aggregate usage of AI features (Paper Chat sessions, outlines generated, syntheses completed) over the current billing period.
  • Storage -- Total storage used and remaining allocation.

Statistics update in real time as you view the dashboard.

Quick Actions

The dashboard provides shortcut cards for common administrative tasks:

  • Manage Users -- Jump to user management to add, edit, or deactivate users.
  • Workspace Settings -- Configure workspace-level settings such as email domains and default permissions.
  • Feature Flags -- Enable or disable features for your workspace.
  • View API Health -- Check the status of backend services and endpoints.
  • AI Configuration -- Adjust AI model settings and feature parameters.

  • Users, Workspaces, Institutions
  • Feature Flags, AI Configuration, AI Assistant
  • Templates, Categories, Equipment
  • Integrations, CRM Connectors
  • API Health, RAG Analytics, Upload Analytics
  • Grant Sources

Role Requirements

Administrative actions are restricted based on your role:

  • Admin -- Can manage users within their workspace, configure features, view analytics, and manage resources.
  • Superadmin -- Has all admin capabilities plus cross-organization management, audit logging, and system-level configuration. See the Super-Admin section for details.

Tips

  • Check the admin dashboard weekly to monitor user growth, AI usage trends, and storage consumption.
  • Use the API Health section to proactively identify backend issues before users report them.
  • The statistics on the dashboard are useful for institutional reporting -- export them via the download button in the header.
