How to add publications to AcaTrove using manual entry, DOI lookup, or file upload.
Uploading Publications
AcaTrove provides three methods for adding publications to your library: manual entry, DOI lookup, and file upload. Each method creates a structured publication record with metadata that integrates with the rest of the platform.
Method 1: DOI Lookup
DOI lookup is the fastest way to add a published work with complete metadata.
- Navigate to /publications and click Add Publication.
- Select the DOI Lookup tab.
- Enter the publication's DOI (e.g.,
10.1038/s41586-024-07890-1). - Click Look Up. AcaTrove queries external databases to retrieve the publication metadata.
- Review the returned information: title, authors, journal, volume, issue, pages, year, and abstract.
- Make any corrections if needed and click Save.
The publication is added to your library with all available metadata populated automatically.
Method 2: Manual Entry
Manual entry is useful for works that do not have a DOI, such as working papers, book chapters with incomplete metadata, or institutional reports.
- Navigate to /publications and click Add Publication.
- Select the Manual Entry tab.
- Fill in the publication details:
- Title (required).
- Authors -- Add each author by name. AcaTrove will attempt to match authors to known profiles on the platform.
- Publication Type -- Select from journal article, conference paper, book chapter, preprint, thesis, report, or other.
- Journal/Venue -- The name of the journal, conference, or publisher.
- Year -- Publication year.
- Volume, Issue, Pages -- Standard bibliographic identifiers.
- Abstract -- A summary of the work.
- DOI -- If known but not used for lookup.
- Click Save.
Method 3: File Upload
File upload lets you add a publication by uploading the document itself. AcaTrove extracts metadata from the file and indexes the full text.
- Navigate to /publications and click Add Publication.
- Select the File Upload tab.
- Drag and drop your file or click to browse. Supported formats include PDF, DOCX, and plain text.
- AcaTrove processes the file and attempts to extract metadata (title, authors, abstract). If the file contains a DOI, it will also perform a DOI lookup to fill in additional fields.
- Review the extracted metadata and make corrections as needed.
- Click Save.
The uploaded file is stored with the publication record and is available for AI features such as Paper Chat and full-text search.
Text Upload
For publications where you have the text content but not a formatted file, AcaTrove supports direct text upload:
- Select the Text Upload tab.
- Paste the publication text into the editor.
- Provide a title and any available metadata.
- Click Save.
This method is useful for preprints, draft manuscripts, or content copied from web sources.
After Upload
Once a publication is in your library, you can:
- Associate it with a project or lab.
- Attach evidence and context documents.
- Open it in Paper Chat for AI-powered analysis.
- View it in your publication list, which is searchable and sortable by title, date, type, and journal.
Tips
- Use DOI lookup whenever possible. It provides the most complete and accurate metadata with the least manual effort.
- When uploading PDFs, ensure the file contains selectable text (not just scanned images). Scanned documents without OCR will have limited metadata extraction.
- Duplicate detection runs automatically. If you upload a publication that matches an existing record (by DOI or title), AcaTrove will flag the duplicate and let you choose whether to merge or keep both entries.
