How to add, organize, and track academic job applications in AcaTrove.
Job Tracking
AcaTrove's job tracking tools help you manage academic job searches from a single workspace. You can add positions you are interested in, track each application through its stages, and maintain notes and deadlines for every opportunity.
Adding a Job
To add a new position to your tracker:
- Navigate to /career and open the Job Tracking section.
- Click Add Job.
- Fill in the position details:
- Title -- The position title (e.g., "Assistant Professor of Biochemistry").
- Institution -- The hiring institution.
- Department -- The relevant department or school.
- Application Deadline -- The submission deadline.
- Job URL -- A link to the posting for reference.
- Notes -- Any additional details such as contact information or special requirements.
- Click Save to add the position to your board.
Application Statuses
Each tracked position has a status that reflects where it stands in the application lifecycle. The default statuses are:
- Interested -- You have identified the position but have not yet applied.
- In Progress -- You are actively preparing application materials.
- Submitted -- Your application has been sent.
- Interview -- You have been invited for an interview or campus visit.
- Offer -- You have received an offer.
- Declined -- You chose not to pursue the position or withdrew your application.
- Rejected -- The institution did not move forward with your candidacy.
To update a status, open the job detail view and select the new status from the dropdown. Status changes are logged with timestamps so you can review your timeline later.
Organizing Your Job Board
The job board displays all tracked positions in a list or card view. You can:
- Filter by status to see only submitted applications or upcoming deadlines.
- Sort by deadline to prioritize positions that require immediate action.
- Search by institution or title to quickly find a specific entry.
Linking Application Materials
Each job entry can be linked to the application packet you submitted or are preparing. This connection allows you to quickly access the specific versions of your CV, cover letter, and statements that were tailored for that position.
To link materials, open the job detail view and click Attach Packet. Select an existing packet from your Professional Assistant workspace or create a new one.
Deadline Notifications
AcaTrove surfaces upcoming deadlines on your dashboard. Jobs with deadlines in the next seven days appear in the dashboard's action items. Ensure your deadlines are entered accurately to benefit from these reminders.
Tips
- Add positions to the tracker as soon as you discover them, even if you are undecided. The "Interested" status keeps them visible without implying commitment.
- Use the notes field to record details from job postings that may be removed after the deadline passes.
- Review your completed applications periodically. Patterns in outcomes can inform how you tailor future materials.
