How to upload, parse, and manage your curriculum vitae in AcaTrove.
CV Management
Your curriculum vitae is the foundation of your career profile in AcaTrove. The CV Management tools let you upload your existing CV, automatically extract structured data from it, and maintain that data over time as your career progresses.
Uploading Your CV
To upload a CV:
- Navigate to /career and open the CV Management section.
- Click Upload CV and select a file from your computer. Supported formats include PDF, DOCX, and plain text.
- AcaTrove will process the file and extract structured information automatically.
The upload process typically takes a few seconds. Once complete, you will see your CV content organized into editable sections.
How CV Parsing Works
AcaTrove uses AI to identify and categorize the sections of your CV. The parser recognizes common academic CV structures and extracts data into fields such as:
- Education -- Degrees, institutions, dates, and fields of study.
- Academic Positions -- Current and previous appointments with dates and institutions.
- Publications -- Journal articles, conference papers, book chapters, and other scholarly works.
- Grants and Funding -- Awards received, funding amounts, and sponsoring agencies.
- Teaching Experience -- Courses taught, institutions, and dates.
- Awards and Honors -- Fellowships, prizes, and recognitions.
- Service -- Committee memberships, editorial boards, and review activities.
If the parser misidentifies a section or misses content, you can manually correct the extracted data using the inline editor.
Editing and Updating Your CV
After the initial upload, you can edit any section directly within AcaTrove:
- Click on any section heading to expand it and view its entries.
- Use the Edit button on individual entries to modify details.
- Click Add Entry within a section to include new items such as a recently published paper or a new committee appointment.
- Drag entries to reorder them within a section.
Changes are saved automatically. Your updated profile data flows into other AcaTrove features, including job match scoring and application packet generation.
Re-uploading a CV
If you maintain your CV in an external document editor, you can re-upload an updated version at any time. AcaTrove will re-parse the new file and highlight differences from the previous version. You can choose to accept all changes or review them individually.
Tips
- Upload your CV before using the Professional Assistant's CV Review feature. The review requires parsed CV data to provide meaningful feedback.
- If your CV uses an unconventional format, consider uploading a DOCX version for better parsing accuracy.
- Publications extracted from your CV are cross-referenced with your AcaTrove publication records. Duplicates are flagged rather than created automatically.
- Keep your CV data current -- it feeds into the Grant Finder's match scoring algorithm.
