Administrator Dashboard

The Administrator dashboard provides a high-level view of your institution's AcaTrove deployment. It is designed for IT administrators, research office staff, and other personnel responsible for platform operations, user management, and compliance.

Dashboard Panels

Institution Metrics

Key usage statistics for your organization: total active users, projects created, publications uploaded, and AI features used. Metrics are shown for the current month with comparison to the previous month, so you can quickly identify trends.

User Activity

A summary of user engagement across the platform. This panel shows daily active users, new registrations, and a breakdown of activity by persona type. Click any segment to see a filtered list of individual users and their recent actions.

Compliance Status

Tracks your institution's compliance posture across relevant frameworks. Items include data retention policy adherence, access control audit results, and any outstanding compliance tasks. Each item has a status indicator (Compliant, Attention Needed, or Non-Compliant) with a link to detailed findings.

System Health

Real-time status of core platform services: API response times, database connectivity, storage usage, and background job queues. If any service degrades, a warning appears here before users report issues.

Resource Allocation

An overview of how storage, compute, and AI credits are being consumed across the institution. A usage bar shows the percentage of each resource used against your plan limits. Approaching-limit warnings appear when usage exceeds 80 percent.

Recommended Workflows

  1. Daily monitoring -- Check System Health and User Activity each morning to catch issues early.
  2. Monthly compliance review -- Review the Compliance Status panel at least once a month. Address any items marked Attention Needed before they escalate.
  3. Quarterly capacity planning -- Use Resource Allocation trends to forecast whether your current plan will accommodate growth.

Tips

  • Configure alert thresholds in Settings > Admin > Alerts to receive email notifications when system health degrades or resource usage spikes.
  • Export Institution Metrics as a CSV for inclusion in reports to leadership by clicking the download icon in the panel header.
  • Use the admin sidebar to access detailed user management, role assignments, and audit logs beyond what the dashboard surfaces.
